Football Institute ("we", "us") is a U.S. 501(c)(3) nonprofit organization. This policy explains what information we collect through footballinstitute.org and our learning platform, how we use it, and the choices you have.
What we collect
- +Forms you submit: your name, email address, country, role and anything you write in a message, waitlist application, program request or Her Game form.
- +Volunteer and faculty applications: the answers you give (areas you can help with, availability, the course you would teach, coaching license, years of experience, links to your work) and the files you upload: a CV or resume and, for faculty, a coaching certificate or license.
- +Faculty: once accepted, the signed Faculty Agreement (your name, email, drawn signature and the date), the course recordings and materials you send us, and a one-use code for a Football Institute shirt.
- +Newsletter sign-ups: your email address, and the date you confirmed the subscription from the email we send you.
- +Donations: your name, email address and billing details are collected by Stripe or PayPal, our payment processors. We never see or store your full card number.
- +Shop orders: your name, email address, shipping address, phone number if you give one, the items you ordered and any discount code you used. Card details are collected by Stripe; we never see or store your full card number.
- +Your cart: the items you add to the shop cart are kept in your own browser until you check out.
- +Technical data: our hosting provider records standard server logs (IP address, browser type, pages requested) to keep the site secure and available.
How we use it
- +To answer your inquiry, process your application or registration, and run the program you asked about. We send a short confirmation email when a form reaches us, and a reply from the team when we have one.
- +To review volunteer and faculty applications: your CV, certificate and answers are read by the team members who run those programs and by nobody else.
- +To send the newsletter you subscribed to. Every email includes an unsubscribe link.
- +To issue donation receipts and meet our legal and accounting obligations as a registered charity.
- +To fulfil shop orders: to charge you, print and ship what you bought, send you order and shipping updates, and handle returns or questions about the order.
- +To understand, in aggregate, how the site is used so we can improve it.
We do not sell personal information, and we do not use it for advertising.
Who we share it with
- +Service providers that run the site for us: Vercel (hosting), Google Firebase (database and sign-in), Stripe and PayPal (payments), Google Analytics and Rybbit (site analytics, see the cookie policy), Helploom (the support chat; anything you type in the chat is stored there so we can answer you), and the automation and email tools we use to route form submissions and send order emails. Each acts on our instructions.
- +Printful, who prints and ships shop orders on our behalf. For each order we give Printful your name, shipping address, email and phone number so the carrier can deliver it. Printful's own privacy policy applies to its handling of that data.
- +Authorities, where the law requires it.
Children
Play the Game sessions are registered by a parent or guardian. We collect a child's first name and age group only from the adult registering them, and we use it solely to run the session safely. If you believe a child has given us information directly, email us and we will delete it.
Keeping and protecting your data
We keep form submissions, donation records and shop orders for as long as we need them to run our programs, support your order and satisfy charity, tax and accounting record-keeping rules, then delete them. Data is stored on servers in the United States and protected with access controls and encryption in transit.
Uploaded files (CVs, resumes, coaching certificates, course recordings) are stored in a private file store hosted by Vercel in the United States. Only signed-in members of our team can open them; the links are not public. We keep an application and its files for as long as we need them for the purpose you sent them to us for — while we are considering you, and then for as long as you are a volunteer or faculty member. We review what we hold and delete what we no longer need. You can ask us to delete your data at any time and we will.
Your choices and rights
- +Ask us what personal information we hold about you, and ask us to correct or delete it. That includes any CV, certificate or recording you sent us: tell us and we remove the files and the application.
- +Unsubscribe from the newsletter at any time using the link in any email. We only add you after you confirm from the email we send.
- +Residents of California, the European Union, the United Kingdom and other regions may have additional rights under local law. We honor them regardless of where you live.
